Word CV template: when you need a .docx, how to create one and what to check before sending

9 sectionsAbout 4 min readUpdated 16/10/2026

Most employers read CVs as PDFs, but sometimes you need an actual Word file: HR wants to paste your profile into its own template, a headhunter needs to reformat before sending to a client, or an application portal only accepts .doc and .docx. Việc Hot has 10 CV templates you can download as Word. This guide covers when to use Word and when to use PDF, what the Việc Hot Word file keeps, and what to check before sending.

Word CV or PDF

A PDF keeps its design on every device and is hard to alter; a Word file can be edited but its appearance depends on the fonts and software of whoever opens it. Send a PDF by default, and send Word only when asked or when the recipient needs to edit it.

Word CV templates for students, first-time job seekers and English CVs

Word is only the file format; what gets you an interview is which section sits at the top of the page. Pick a template for your situation, then download Word:

English, Chinese, Japanese and Korean CVs download as Word too: change the CV language in the editor, fill in the content and click Download Word as usual. For a bilingual CV, the Word file has section names in the primary language only; bilingual section names appear in the PDF and the shared link.

How to make a CV in Word from a blank page

If you would rather build your CV in Word yourself, follow the order below. Command names follow the English interface of Word 2016 and later.

  1. Set the paper size and margins
Layout > Size choose A4, Layout > Margins > Custom Margins set about 2 cm on every side so nothing is cut off when printed.
  2. Pick one font
Use one readable font such as Arial, Calibri or Times New Roman; body text 11 to 12 pt, section titles 13 to 14 pt, line spacing 1.15.
  3. Write the header
Your name in large type, the target position below it, then phone, email and city. Add a photo with Insert > Pictures then on the Picture Format tab set Wrap Text > Square so text flows around it.
  4. Use Heading styles for section titles
Set Experience, Education and Skills as Heading 1 or Heading 2 in Home > Styles, so changing a colour or size later updates the whole CV at once.
  5. Split into two columns if needed
Insert > Table creates a two-column table, then Table Design > Borders > No Border hides the lines. For online application portals keep one column, as some systems read tables incorrectly.
  6. Save two copies
File > Save As a .docx to edit later, then File > Save As PDF to send by email.

What the Word file keeps

The Word file uses a single-column layout so it is easy to edit and does not break across different software. Content follows the same order and section names as your CV; for a bilingual CV, section names appear in the primary language only.

  • Full name, target position, contact line, and portrait if your CV shows a photo.
  • Sections in the same order and with the same names as on your CV (bilingual CV: primary language names).
  • Bold, italic, underline and lists.
  • Section headings in your CV’s accent colour.
  • Your CV’s fonts; if the computer lacks a font, Word substitutes a similar one.
  • The template background.
  • Two-column layouts.
  • Skill level bars.

For the exact original design, download a PDF; the Word file is for further editing and for places that require Word.

What to check before sending a Word CV

Name the file with your name, the position and the month, without diacritics to avoid errors on older systems, for example "Nguyen-Thi-Lan-General-Accountant-10-2026.docx". Avoid names like "CV newest (3).docx".

Use common fonts if you know the recipient works on older office computers, and open the file once on a phone to check that text does not spill onto an extra page. If the job ad does not ask for Word, send a PDF by email and keep the Word file for future edits.

Opening and editing a Word CV on a phone

The Microsoft Word app on phones opens and edits .docx files; Google Docs opens them after you upload the file to Google Drive. The single-column layout reads well on a phone, but larger edits are better done on a computer. For quick changes on the go, reopening the CV in the Việc Hot editor and downloading Word again is easier than editing line by line.

Choosing among the 10 Word CV templates

Because the Word file is single-column, every template produces a clean file; if you know you will send Word, choose a one-column template so the PDF and Word versions look alike. Each template has 10 layouts, 36 backgrounds and 69 fonts, and a CV can be written in 17 languages or in bilingual mode. From the same CV you can download a PDF for email, a Word file for application portals, and send a share link when an employer wants to view it online.

For a cover document, see the job application letter templates; if a company wants paper records, add a personal background form.

Frequently asked questions

Yes. Sign in to your Việc Hot account to create the CV, then download Word or PDF whenever you finish editing.

Yes, if your CV has the photo turned on. The photo sits at the top of the page, and you can replace or remove it directly in Word.

The Word file uses a single column and drops the background, two-column layout and skill bars so it is easy to edit and does not break in different software. For the exact design, download a PDF.

Yes. A .docx opens and edits in Word, LibreOffice and Google Docs. If the computer lacks your CV’s font, the software substitutes a similar one.

Send a PDF when the job ad has no requirement, because the layout stays the same everywhere. Send Word when .doc or .docx is requested or when a headhunter needs to edit your profile.
