Handwritten teacher application letter: format, wording and what schools look for

7 sectionsAbout 3 min readUpdated 01/10/2026

At a school, a teacher's application letter (đơn xin việc) is usually read by the principal or the vice-principal for academic affairs before they turn to the diplomas, and many schools still want it handwritten so they can see the handwriting of the person about to stand in front of a class. They look for the subject, the school level, teacher training and students' results. This article goes through each part, with a sample paragraph from an English teacher.

How schools read a teacher application letter

Public schools hire permanent teachers through public employee (viên chức) recruitment rounds, which use their own registration form; the application letter is for contract and visiting teacher posts. At the school, the letter goes through the office and onto the principal's desk, and the head of the subject group is consulted on the classroom side. They read the handwriting, the forms of address and the format before they get to achievements.

Subject, school level and teacher training belong in the opening sentences

The "To:" line (Kính gửi) carries the school's full name, for example "The Board of Principals of Nguyễn Trãi Lower Secondary School". The first sentence names the post the way the school does: lower secondary mathematics teacher. The second sentence covers degrees and certificates: Bachelor of Education in Mathematics, with the university and year of graduation; if your degree is not in education, give your teacher training certificate and the year it was issued; add foreign languages, IT and refresher courses on the 2018 General Education Curriculum. Write the exact name of your degree so the school can check it against the qualification standards in current regulations without having to ask again.

The teaching experience paragraph: an English teacher example

A teacher's achievements lie in their students' results, not in their years of service.

Experience paragraph in an English teacher application letter

Since August 2022 I have been teaching English to grades 6 and 8 at a private lower secondary school in Hanoi, with four classes of about 140 students, preparing lesson plans for the Global Success textbook series. In the 2024-2025 school year, 31 of the 35 students in my class 8A2 reached a subject average of 8.0 or higher, and four won consolation prizes in the city-level English Olympiad. I hold a Bachelor of Education in English, achieved IELTS 7.5 in 2023 and have completed a refresher course on teaching to the 2018 Curriculum.

If accepted, I would like to teach grade 6 or 7 from the second semester and am ready to give a demonstration lesson on a date set by the school.

What newly graduated teachers write before they have taught a class

Your teaching practicum is real experience: which school, which grade, how many lessons you taught, what your supervising teacher said. Add your degree classification and the months you spent tutoring or as a teaching assistant, with the actual number of students. Newcomers tend to write at length about their love of teaching; a principal is more convinced by the 40 lessons you taught on placement.

Handwritten or typed, and how to set out the national name and motto

Many schools, especially public schools and preschools, want a handwritten letter so they can see your handwriting. Write on plain white A4 paper in one ink colour, with no corrections, leaving a wider left margin for filing. The national name and motto at the top follow the format of Decree 30/2020/ND-CP: the national name in capitals, the motto with hyphens between its three phrases. The easiest way is to fill in the template on this page, print it, then copy it out by hand with every line in the same position; private schools and learning centres accept a printout or a PDF.

Common mistakes and how to submit your letter to a school

  • Reusing a letter sent to another school and forgetting to change the school name.
  • Writing "teacher" without the subject and school level.
  • Switching between the deferential "I" (em) and the neutral "I" (tôi); the letter uses the neutral form from start to finish.
  • Listing your own awards without a single result from your students.

Submit in person at the school office; the file contains the letter, the personal record form, copies of your degree and certificates, and a health certificate. Private schools and learning centres accept applications by email: scan the handwritten letter into a sharp PDF. On Việc Hot, attach the letter with your CV when you apply and state clearly which teaching slots you can take.

Frequently asked questions

Yes, for contract or visiting teacher posts. Public employee recruitment uses the registration form issued for that recruitment round.

Public schools and preschools usually want it handwritten; private schools and learning centres accept a printout or a PDF.

Use the neutral "I" (tôi) and address the recipient as "the Board of Principals" (Ban Giám hiệu) or "your school" (Quý trường), consistently from start to finish.
