Restaurant and hotel application letter: write for a shift manager reading at rush hour

7 sectionsAbout 3 min readUpdated 01/10/2026

A restaurant manager or a hotel department head usually reads application letters (đơn xin việc) between two shifts, skimming for three things: the shifts you can take, the languages you can use with guests, and the size of the places you have worked in. A restaurant or hotel application letter should therefore be short and specific. This article is written for waiting staff, receptionists, housekeeping and kitchen staff.

How restaurants and hotels read an application letter

Four- and five-star hotels have an HR department and a full process: HR screens, the department head interviews, sometimes in English. Restaurant and café chains have the store manager read the letter and interview on the spot, sometimes hiring straight away. Resorts far from town also ask about living in the staff dormitory and seasonal work.

Shifts, languages and start date come first

The first sentence after the "To:" line (Kính gửi) names the position exactly: waiting staff, receptionist, room attendant, kitchen assistant, bartender. The second covers shifts: morning, afternoon, night, split shifts, weekends and public holidays. The third gives your languages at the level you actually use them: listening and speaking in English with guests. The fourth gives your start date and where you live.

Sample experience paragraph in a hotel receptionist application letter

A sample paragraph from a receptionist at a four-star hotel:

Experience paragraph in a restaurant and hotel application letter

Since March 2023 I have worked as a receptionist at a 120-room four-star hotel in Da Nang, rotating across three shifts; in peak season I handle about 40 check-ins and check-outs per shift on Opera and communicate with guests in English and basic Korean. I was put in charge of monitoring guest reviews; in 2025 the satisfaction score for reception rose from 8.6 to 9.1. I am used to dealing with guests who arrive before their room is ready and guests who have lost belongings, and I know when to call the shift manager.

I wish to apply for the Receptionist position at your hotel; I can work night shifts and public holidays and can start on 15 November 2026.

No experience: write from part-time shifts, weddings and events

Students who wait tables in a café or serve at weekend weddings all have numbers to give: a 20-table café, a 50-table wedding banquet, a 6-hour shift on your feet. State your real level of English, even if it is only enough to greet guests and take orders. Add certificates in reception or bartending, or a food safety knowledge certificate, if you have them.

A short one-page letter, and when the formal format is needed

Cafés and small restaurants take a short letter, and sometimes hand you paper to write one on the spot. Large hotels, resorts and hotels owned by state enterprises collect complete paper files, and then the letter keeps to the format, with the national name and motto as set by Decree 30/2020/ND-CP: the national name in capitals, the motto with hyphens. Type it, print it and sign it by hand; if the job post is in English, send the English version, which the template on this page already includes.

Common mistakes and how to submit

  • Writing "waiting staff" without saying how big the restaurant was or how many tables it had.
  • "Good English" with no example of using it with guests.
  • Not stating the shifts you can take and the date you can start.
  • Handing in the letter at peak hours, when the manager has no time to read it.

Apply in person during quiet hours, ask for the shift manager and have your personal record form (sơ yếu lý lịch) and a copy of your ID card ready. Large hotels accept applications by email to the HR department. On Việc Hot, attach the letter with your CV and state the shifts you can take in the message.

Frequently asked questions

Usually not, but bringing a short one helps the manager remember you among the many people asking for work that day.

Follow the language of the job post; international hotels usually want an English version.

No. The photo goes only on the personal record form; the letter only needs your signature and the date.
