One-page handwritten factory worker application letter: what gets it accepted on the spot

7 sectionsAbout 3 min readUpdated 01/10/2026

At the factory gate, worker applications are taken in during set sessions and the HR officer spends a few minutes on each file: the handwritten application letter (đơn xin việc), the personal record form (sơ yếu lý lịch) and the health certificate. They look for the production stage you have worked on, the machines you have operated, the shifts you can take, where you live and when you can start. This article shows how to write one page that answers all of that.

How factories take in applications and read a factory worker application letter

Factories hire in rounds, announced on the notice board at the gate and on Việc Hot. The HR department takes in the files, and the team leader or workshop supervisor looks at the production stages and machines. They need to know quickly: what you can do from day one, whether you can handle night shifts and overtime, how far you live from the company, and whether you need the shuttle bus.

State your production stage, the machines you have run and the shifts you can take

After the "To:" line (Kính gửi) and the position, the first sentence names the stage and the machine as the workshop calls them: "three years of single-needle sewing on Juki machines", "operating a plastic injection moulding machine". The second sentence covers shifts: day shift, night shift, rotating 12-hour shifts, weekend overtime. The third covers where you live and how you travel: how many kilometres from the company, whether you have a motorbike, whether you need the shuttle bus.

Sample experience paragraph in a garment worker application letter

A sample paragraph from a garment worker moving closer to home:

Experience paragraph in a factory worker application letter

From 2019 to August 2026 I worked as an industrial sewing machinist at an export garment company in Hung Yen, on line 7, doing single-needle and double-needle sewing on Juki machines. My output was usually 105 to 115% of the standard rate, with returned defects below 1%, and I had no unauthorised absences for three years running. I left to move closer to home in Yen My commune, 6 km from your company; I have a motorbike to get to work and can take day shifts and overtime when the company needs it.

I can start as soon as I have had my health check, and would like to be placed on the jacket line if there is a vacancy.

What to write if you have never worked in a factory

Many factories hire people with no trade and train them on the job, so your letter only needs to answer: age, health, the shifts you can take and when you can start. If you have worked in farming, as a construction labourer or in sales, say so, because the team leader needs to know you are used to standing for long periods and doing manual work. If you hold an elementary vocational certificate in welding or electrics, give it with the year.

Handwriting the letter in the right format, and the documents to bring

A handwritten letter is still the most common choice at factories: write on A4 paper in one ink colour with no corrections, with the national name and motto at the top in the format set by Decree 30/2020/ND-CP, the national name in capitals and the motto with hyphens. If your handwriting is not neat, fill in the template on this page, print it and sign it by hand. The file to bring contains:

  1. Application letter

    One page, signed and dated.

  2. Certified personal record form

Have your signature certified at the ward or commune office; see the personal record form template.

  3. Copies of your ID card and qualifications

Certified copies; keep the originals at home: Article 17 of the Labour Code 2019 (Bộ luật Lao động 2019) prohibits employers from keeping original documents and from taking money as a guarantee of employment.

  4. Health certificate and photos

Still valid; 3x4 cm photos taken within the last six months.

Common mistakes and how to submit

  • Writing "worker" without the production stage or the machines you have run.
  • Not saying which shifts you can take, where you live or when you can start.
  • Buying a pre-printed form, filling it in and getting the company name wrong; no date or signature.
  • An expired health certificate; handing in original diplomas.

Submit in person at the gate or the HR department during the hours given in the notice. On Việc Hot, many factories take applications online first and then set a date for you to bring the paper file; attach your letter and state the shifts you can take.
