Nursing application letter: practising licence, wards and how to write about patients

7 sectionsAbout 3 min readUpdated 01/10/2026

The personnel department and the head nurse read a nursing application letter (đơn xin việc) with two questions in mind: do you have a practising licence yet, and which department have you worked in, caring for which kind of patients. Answer both in the opening paragraph; only then does the rest get read. This article shows how to write the letter for nurses, nursing assistants, medical technicians and new graduates.

How hospitals and clinics read a nursing application letter

Public hospitals recruit public employees in rounds using a registration form; the application letter is for contract posts and is submitted through the personnel department. Private hospitals let HR screen first, then the head nurse interviews and tests clinical skills. At clinics, dental practices and cosmetic clinics the owner reads the letter and needs someone who can do several jobs.

Practising licence and departments worked in come first

The first sentence after the "To:" line (Kính gửi) gives the position and your qualification: Bachelor's degree or college diploma in nursing, the school and the year. The second gives your practising licence (giấy phép hành nghề, which many people still call a practising certificate) with its number, issuing authority and scope of practice. The third covers departments and types of patients: internal medicine, surgery, paediatrics, intensive care and emergency, beds per shift, and the procedures you are skilled in, such as injections and infusions, tube insertion and post-operative care.

The experience paragraph: an intensive care nurse example

A sample paragraph from a nurse with four years in an intensive care unit:

Experience paragraph in a nursing application letter

I graduated with a Bachelor of Nursing in 2021, have held a practising licence since 2022, and have since worked in the intensive care unit of a provincial hospital in Nghe An. The unit has 24 beds; on each shift I care for 3 to 4 ventilated patients: closed suctioning, endotracheal tube care, syringe pumps and monitor observation. In 2025 I joined the unit's pressure ulcer prevention improvement team; after six months of turning patients every two hours, the unit recorded no new pressure ulcers.

I am used to 12-hour shifts with about 7 night shifts a month, hold a basic emergency care certificate and can start work after 30 days.

What to write as a new graduate without a practising licence

Under current regulations, newcomers must complete a period of supervised practice at a healthcare facility before a licence is issued, so state clearly which stage you are at: where you are doing your practice and how long you have done so far. Describe clinical placements by department, number of weeks and the procedures you performed under supervision. Nursing assistants write in the same way, replacing procedures with hygiene care, turning patients and feeding.

Handwritten or typed: hospitals still prefer paper files

Public hospitals take paper files and many want a handwritten letter, because legible handwriting is a genuine requirement for someone who writes medical records. Use one ink colour, no corrections, and keep it to one page. The national name and motto at the top follow the format of Decree 30/2020/ND-CP: the national name in capitals, the motto with hyphens. Private hospitals and clinics accept a typed letter or a PDF; the template on this page has an English version for international hospitals.

Common mistakes and how to submit

  • Leaving out the number and scope of your practising licence.
  • Writing just "nurse" without the department or type of patients.
  • Mentioning the names or medical records of specific patients.
  • Not saying whether you can work nights; a "To:" line without the name of the hospital.

Public hospitals: submit at the personnel department; the file contains the letter, a certified personal record form (sơ yếu lý lịch), and certified copies of your degree and practising licence. Private hospitals and clinics: send an email or apply through Việc Hot, attaching the letter with your CV and stating the shifts you can take.

Frequently asked questions

You can apply for a supervised practice place or a support role while you wait for the licence; state your stage clearly in the letter.

Yes, hospitals collect paper files for every position. Keep it to one short page, stating your care experience and the shifts you can take.

You should, because the head nurse draws up the duty roster around it and will ask in the first minute of the interview.
