IT application letter: when you need the formal format and what to write besides GitHub

7 sectionsAbout 3 min readUpdated 01/10/2026

Most software companies do not ask for an application letter (đơn xin việc); they read your CV, your code repository and a few lines in an email. But when you apply to the IT department of a bank, a conglomerate, a hospital or a state agency, an IT application letter in the formal administrative format is still part of the file. This article explains when you need one and what to write.

Who reads an IT application letter and what they look for

Start-ups and software outsourcing firms have the tech lead read the CV first; the "letter" there is five or six lines in an email. Banks, conglomerates and state agencies follow a paperwork process: HR filters on format and qualifications, and the technology division reads afterwards. So the same person may need two versions: a short email and a formal application letter.

Open with your role and core technologies, not twenty keywords

The first sentence after the "To:" line (Kính gửi) names the role exactly as the job post does: backend developer, automation tester, DevOps engineer. The second sentence lists the three or four technologies you use every day, for example Java Spring Boot, PostgreSQL and Docker. Add certificates if you have them, such as AWS, ISTQB or CCNA, with the year. Technical readers are allergic to a list of twenty technologies you are "proficient" in; they only believe the three you can discuss in detail at interview.

A project paragraph with results: a backend developer example

One project that shows exactly what you did is worth more than five described in general terms.

Experience paragraph in a backend developer application letter

In two years as a backend developer at a software company in Da Nang, I helped build the order management system for a retail chain of about 300 stores, written in Java Spring Boot, PostgreSQL and Redis and deployed on Kubernetes. I was responsible for the inventory sync module; after I replaced periodic polling with an event queue, the time needed to update stock levels between stores fell from about 15 minutes to under 30 seconds, and the number of stock discrepancies reported to operations dropped noticeably the following quarter.

I am applying for the Backend Developer position because the concurrency problem described in your post is similar to the work I have done; the link to my code repository is at the end of this letter.

What new IT graduates and career changers write

Your graduation project is a project: state the problem, the technologies, the part you built yourself and a link to a working demo. Describe your internship by the number of tickets handled, screens built and tools used. Career changers present their previous profession as an advantage, along with their courses and one product they have actually deployed, even if it serves only a few dozen users.

Formal administrative letter or application email

When the job post says the application file must include "an application letter", use the administrative template: the national name and motto as set by Decree 30/2020/ND-CP, signed by hand, then scanned to PDF. Nobody in software asks for a handwritten letter, except state agencies recruiting public employees. Otherwise, an email is enough:

  1. Email subject

The position and your full name, for example "Application for Backend Developer - Trần Minh Quân".

  2. Five lines of content

The position, years of experience, core technologies, one result, and when you can start.

  3. Attachments and links

Your CV as a PDF, the formal letter if requested, and a code repository that can be viewed without logging in.

Common mistakes and how to submit

  • Sending a .docx file with broken fonts, so the employer opens it to find missing characters.
  • Describing the whole team's project without saying which part was yours.
  • Listing fifteen technologies you are "proficient" in, with no years of experience.
  • The wrong company name because you reused an old letter; a position title that differs from the one in the post.

Through Việc Hot, attach the CV and the letter in the same application; by email, follow the three steps above; through the careers portal of a bank or conglomerate, upload the exact format they require and keep the original, together with your personal record form (sơ yếu lý lịch), to hand in at the document screening round.

Frequently asked questions

Most do not; a CV and a short email are enough. Banks, conglomerates and state agencies do.

Follow the language of the job post. If the post is in English, write in English; the template on this page has an English version for comparison.

Only if the post asks for it. Give a range and say whether it is gross or net.
