Accountant application letter: how to make the chief accountant want to meet you

7 sectionsAbout 4 min readUpdated 01/10/2026

An accounting application letter (đơn xin việc) is often read by the chief accountant before it is passed on to HR, and they read it with a professional eye: looking for the accounting areas you have handled, looking for figures, and checking for typos the way they would check a voucher posted to the wrong account. This article goes from the opening sentence to the signature, with a sample paragraph for those who already have experience in an accounting area and pointers for new graduates.

How a chief accountant reads an accounting application letter

In a small company the chief accountant also handles hiring for their own department, so the letter reaches them even before HR sees it. Large companies let HR filter by qualifications and years of experience, and the chief accountant reads the letters that get through. Either way the reader knows the trade, so they skip the adjectives and stop at accounting areas, software and figures.

Open with your accounting area, software and certificates

After the "To:" line (Kính gửi) and the sentence naming the position, the next sentence answers straight away: which accounting area, which software, which certificates. Name the area the way the profession does: payments, receivables and payables, inventory, costing, tax, general accounting, rather than a vague "internal accounting". Name the software you actually use, such as MISA SME, Fast, Bravo or SAP Business One; for Excel, say what you do with it. Give certificates with the year issued: chief accountant, tax agent, CPA, the number of ACCA exams passed.

An experience paragraph with figures: a general accountant example

This paragraph takes up half the page and decides whether you get a call; every sentence needs a unit of measurement.

Experience paragraph in a general accountant application letter

Over three years as a general accountant at an electrical equipment trading company, I have been responsible for all the accounting data on MISA SME, processing about 600 invoices a month and preparing the VAT returns and annual financial statements. For the 2024 tax inspection I prepared the explanatory documents, and the inspection team did not disallow a single expense. Before that I spent two years as a receivables accountant, managing more than 150 customer accounts and bringing the average collection period down from 52 to 38 days with a weekly reconciliation schedule.

I have held a chief accountant certificate since 2024, have passed 6 of the 13 ACCA exams, and can take over the book closing and monthly management reporting mentioned in your job post straight away.

What new graduates write before they have an accounting area

Newcomers have no accounting area yet, but they do have an internship, a graduation project and certificates. Describe the internship as a job: which company's accounting department, for how long, and whether you were given invoice entry, reconciliation of receivables and payables or practice bookkeeping on MISA. Do not copy the job description from the post and put "I can" in front of it.

Handwritten or typed, and which format to follow

Private businesses take only typed letters, printed and signed by hand or sent as a PDF. State agencies and public service units still ask for a handwritten letter; in that case use one ink colour, make no corrections and write every figure clearly. The national name and motto go at the top in the format set by Decree 30/2020/ND-CP: the national name in capitals, the motto with hyphens between its phrases. The template on this page already has that part aligned; fill in your details, then print it or download a PDF.

Common mistakes and how to submit an accounting application letter

  • Calling yourself a "general accountant" while describing nothing but data entry.
  • "Proficient in Excel" without saying what you do with Excel.
  • No figures: how many invoices, how many sets of books.
  • Reusing an old letter and forgetting to change the company name; no date or signature.

When you submit in person, put the letter on top, followed by the personal record form (sơ yếu lý lịch) and copies of your degree and certificates. By email, send a PDF with your full name and the position in the file name, and write three lines stating your years of experience and main accounting area. When you apply through Việc Hot, attach the letter as a PDF together with your CV in the same application.

Frequently asked questions

It is not required. If the job post asks for it, give a range and say whether it is gross or net.

Yes, if you are studying for it: give the month you expect to sit the exam. Do not claim to hold it before it has been issued.

Private companies usually need only a CV, but state agencies, public service units and many manufacturers still ask for an application letter, so keep a PDF ready.
